This Privacy Policy describes how ProductHope Jobs ("we", "us", or "ProductHope") collects, uses, stores, and shares information when you use our website and AI-powered job matching service. By using ProductHope Jobs, you agree to the collection and use of information in accordance with this policy.
1. Information we collect
1.1 Information you give us
- Account information: name, email address, and password (hashed). When you sign in with Google, we receive your name, email, and profile picture.
- Resume content: the file you upload (PDF or DOCX) and the structured data extracted from it: work history, education, skills, achievements, and inferred seniority.
- Preferences: locations, salary expectations, role dealbreakers, email frequency, and other matching preferences you configure.
- Feedback: ratings, bookmarks, and any messages you send us.
1.2 Information we collect automatically
- Usage data: pages visited, jobs viewed, scoring requests, click events. We use this to improve our matching quality and product experience.
- Device data: browser type, operating system, IP address, and approximate location (city-level).
- Cookies: we use first-party cookies for authentication and a small number of analytics cookies (PostHog) to understand product usage. We do not use third-party advertising cookies.
2. How we use your information
- To run the core matching service: scoring jobs against your resume.
- To send job alerts at the frequency you choose, and transactional emails (signup confirmation, password resets, account updates).
- To improve scoring accuracy and product experience.
- To prevent abuse, fraud, and protect platform security.
- To comply with legal obligations under Indian and international law.
3. AI processing
ProductHope Jobs uses third-party large language model providers (currently Google Gemini and OpenAI) to extract structured data from your resume and to generate match scores. Your resume content is sent to these providers as part of a scoring request. They process the request and return a result, which we store on your behalf. We do not use third-party LLM providers to train their public models with your data; both providers contractually disclaim training on API customer data.
4. Sharing of information
We do not sell your personal data. We share data with:
- Service providers (Supabase for database hosting, Vercel for application hosting, OpenAI and Google for AI processing, Resend for email delivery, Upstash for rate limiting and scheduled tasks, PostHog for analytics), bound by contractual data-protection obligations.
- Hiring contacts identified in job postings only if you choose to apply through a contact path we surface (we never forward your details automatically).
- Authorities if required by law, court order, or to protect rights and safety.
5. Data retention
- Active accounts: we retain your data for as long as your account is open.
- Closed accounts: we delete personal data within 30 days of closure, except where retention is required by law.
- Resume versions: we keep prior resume versions to allow you to re-score against earlier scoring runs. You can request deletion of older versions at any time.
6. Your rights
Subject to applicable law (DPDP Act 2023 in India, GDPR for EEA users), you have the right to:
- Access the personal data we hold about you.
- Correct inaccurate or incomplete data.
- Delete your account and data (we honour delete-on-request within 30 days).
- Export your data in a portable format.
- Withdraw consent for non-essential processing (e.g. analytics).

7. Security
We use industry-standard security practices including TLS encryption in transit, encryption at rest for stored resumes, role-based access controls, and server-side input validation. No system is perfectly secure; if we discover a breach affecting your data, we will notify you as required by applicable law.
8. Children
ProductHope Jobs is not directed at users under 18. We do not knowingly collect data from children. If you believe a child has provided us data, contact us and we will delete it.
9. Changes to this policy
We may update this Privacy Policy from time to time. The "Effective" date at the top reflects the most recent revision. Material changes will be communicated by email to active users at least 30 days before they take effect.
